Workshops in Africa (Pty) Ltd
Terms & Conditions
Effective 6 April 2026. By booking, you confirm that you have read, understood and accepted these terms for workshops, retreats, tours and related travel services.
01
Bookings and reservations
All bookings are subject to availability and confirmed only once payment has been received and accepted by Workshops in Africa. By completing a booking, you agree that the reservation is final and subject to the cancellation and refund terms below.
02
Cancellation and refunds
A deposit is refundable for up to 30 days from payment, less bank charges and a 10% administration fee. After 30 days the deposit becomes non-refundable. If a booking is cancelled within three months of the retreat start date, no refund will be given and the full amount remains payable. Confirmed bookings and later changes are otherwise non-refundable unless these terms expressly state differently.
03
Cancellation by Workshops in Africa
If a guaranteed retreat must be cancelled due to force majeure, safety, insufficient participation, supplier failure or circumstances beyond reasonable control, guests will be notified as soon as possible. Where applicable, monies paid directly to Workshops in Africa will be refunded under these terms; third-party costs such as flights, visas, extra accommodation, disruptions or currency losses remain the guest’s responsibility.
04
Refund procedure and chargebacks
Approved refunds are processed to the original payment method where possible, less applicable charges and costs. Workshops in Africa is not responsible for banking or processor delays. Guests agree not to initiate unjustified chargebacks for services booked under these terms.
05
Travel insurance
Every participant must obtain comprehensive cover for cancellation, interruption, medical emergencies and evacuation, personal liability, baggage, delays and supplier default where available. The policy must cover the full value of the trip and related arrangements. Workshops in Africa does not provide insurance and is not affiliated with a particular provider, but may supply documentation required for a valid claim.
06
Transfer of booking
A booking may be transferred to another suitable participant only at the sole discretion and written approval of Workshops in Africa. The proposed replacement may be asked to demonstrate a genuine interest in the artist, instructor or workshop format. Requests must include the replacement participant’s full details in writing; transfer costs may apply.
07
Food and drink
Included meals and beverages are defined in the relevant itinerary and may change with seasonality, availability or operational needs. Dietary requirements, allergies and medical conditions must be disclosed in advance; reasonable efforts will be made but cannot be guaranteed.
08
Participant responsibility
Participants are responsible for passports, visas, health and entry requirements, punctual arrival, and being physically and medically fit for the booked activities. Costs or losses arising from failure to meet these responsibilities remain with the participant.
09
Liability
To the fullest extent permitted by law, Workshops in Africa and its directors, staff, contractors, agents and suppliers are not liable for loss, damage, injury, delay or expense arising from participation, third-party suppliers, property loss, illness, weather, unrest, restrictions or events beyond control. Activities are undertaken at the participant’s own risk.
10
Indemnity
By booking, participants agree to indemnify and hold harmless Workshops in Africa, its directors, employees, agents, contractors and suppliers against claims, liability, loss, damage, cost or expense arising from their booking, participation, conduct, negligence or breach of these terms.
11
Personal property
Workshops in Africa is not responsible for loss, theft or damage to luggage, art materials, equipment or valuables. Guests should keep property secure and adequately insured.
12
Conduct
Workshops in Africa may refuse or remove, without refund, a participant whose conduct is unlawful, disruptive, abusive, unsafe or negatively affects staff, artists, suppliers or other guests.
13
Photography and media
Unless a participant requests otherwise in writing, photographs or video made during retreats may be used for promotional purposes. Guests who prefer not to appear should notify the team before the retreat begins.
14
Privacy
Personal information is processed to manage bookings, arrange travel, communicate and deliver services. Information may be shared with relevant providers where needed for the journey and is handled in line with applicable privacy law.
15
Force majeure
Workshops in Africa is not liable for failure or delay caused by events beyond reasonable control, including natural disaster, extreme weather, conflict, unrest, epidemic, restriction, border closure, strike, transport disruption or supplier failure. Arrangements may be amended, postponed or cancelled as reasonably necessary.
16
